Organize your to-dos and share a category

Updated · SwitchDesk build 218+
TL;DR

“Today’s Todo” is the numbered list of what you’ll do today; “This Week’s Todo” sits under it for the next few days. Everything else lives in your categories, and each category’s bio tells SwitchDesk what to file there. To work with others, sign in, create or join a team in Settings then Teams, and switch on “Shared with team” for the categories you want them to see.

Today’s Todo and This Week

Put a to-do in “Today’s Todo” when you’ll do it today: say add to today <task>, or use the “Add to...” chips on the pill after a voice to-do. The numbers show the order; drag rows to change it. In Settings then To-Do List you can “Organize by day” to split This Week into days, with “Include weekends” if you want them.

Sam’s list: Today’s Todo, This Week by day, then categories.

Show This Week

A second built-in list under Today's Todo for the slightly longer horizon. Turning it off just hides it — nothing moves. Its items show under their home categories in the meantime and come back exactly as you left them when you turn it on again. To-dos with a due date join This Week on the Monday of their week (a week early when due on a Monday) and move into Today's Todo on the day.

In Settings → To-Do List.

Categories and bios

  1. Open Settings → Categories

Under “New category”, type a “Category name”.

  2. Write a bio

“Bio (optional)” is what SwitchDesk reads when you say add a todo <task> without naming a category. Sam’s Fernhill bio reads: “Work at Fernhill: clients Lumora and Marlow & Finch, pilots, pricing, proposals, hiring”.

  3. Press “Add category”

To file into it by voice, say add a todo to <category> <task>.

Due dates

Right-click a to-do and choose “Assign Due Date…”, then click a day. A to-do with a due date joins This Week on the Monday of its week, and moves into Today’s Todo on the day. Saying a day out loud doesn’t set a date: “for Thursday” stays in the title.

Share a category with your team

  1. Sign in

Teams need an account: Sign in and sync →

  2. Create a team, or join one

In Settings then Teams, choose “Create a team” and name it, or “Or join with an invite code” and paste the code you were sent. Invite codes are 8 characters, letters and digits only.

  3. Set your name

Fill in “Your name (visible to teammates)”. It’s required: teammates see it on the member list and on shared to-dos.

  4. Invite people

Copy the code under “INVITE CODE” and send it. Each code works once and expires in 48 hours.

  5. Switch on the categories to share

Under “Shared with team”: “Categories you toggle on are visible to teammates. Untoggled categories stay private.”

    Teams

    Shared with team

Categories you toggle on are visible to teammates. Untoggled categories stay private.

Settings → Teams: Fernhill is shared; Personal, Family and Pottery Shop stay private.

On a shared to-do of yours, “Assign to teammate” hands it to someone else. On a teammate’s, “Take & Assign to Me” picks it up.
