Let your AI manage your to-do list

Connect ChatGPT, Claude, Grok, Gemini and other AI apps to SwitchDesk. They read your list, add and plan to-dos, and check things off. You choose what each one may do, approve changes with a tap, and undo anything for 7 days.

Your to-do list, as a tool your AI can use

AI Access turns your SwitchDesk list into an MCP server: a set of tools any compatible AI app can call. The AI asks to read Today, add a to-do or check one off; SwitchDesk checks what you allowed for that app, then does it, turns it into a card for you to approve, or says no.

There are three ways in, depending on the app:

  • Sign in. The ChatGPT, Claude, Grok and Gemini tiles: add one URL in that app and sign in with your SwitchDesk email. No key to copy.
  • A key. The Muse tile, and under Advanced: Grok team bot and Any other app. The key is shown once and sent as a header.
  • The switchdesk CLI. The “Terminal & coding tools (CLI)” tile, for Claude Code, Cursor and Codex: install it from npm, sign in once, and the key stays in your Keychain.

Why connect one

  • Capture from wherever the AI is

The assistant that just read your email, or sat in a chat with you, adds the to-do itself, in the right category, with the date.

  • Plans built on your real list

“Plan my day” gets an answer from what is actually in Today, This Week and due soon, not from what you remember to paste in.

  • Upkeep while you’re away

Always-on agents like Grok Bot and OpenAI dots can file Incoming, flag what’s overdue and line up tomorrow, as cards for you to approve.

  • Follow-through from your calls

If you share them, meeting notes and action items let an AI ask “did you send what you promised Joe?” and add it if not.

You decide what each AI may do

Every connection has its own permissions. Reads are Off or On. Changes are Off, Ask (a card you approve) or On. Three presets set them all; Fine-tune sets each one. A change applies on the AI’s next call.

What each preset allows: Read only, Assistant (the default) and Full control.

On “What can it do?”, Read only “Sees your to-dos, meetings and notes. Changes nothing.” Assistant “Adds to Incoming. Asks you before other changes.” Full control “Can change and delete your to-dos, notes and bios. Undo for 7 days.”, and its button reads Allow & Continue. Changes your teammates can see (a shared category, a Team Note on a shared to-do) have their own permission.

Changes wait for your tap

With a write set to Ask, the change waits as a card in Needs Your Approval, at the top of your list. Nothing happens until you tap the card’s button, and cards expire after 7 days.

  • The button says what happens. “Check off”, “Add 4”, “Delete”, or the answers to a question. Deny is always next to it.
  • SwitchDesk writes the headline from the actual change, so an AI can’t dress a delete up as something else. Its own note appears below, in quotes.
  • A set of changes (up to 25) is approved or denied as one.
  • Questions are cards too: “Move the gym to Friday?” with Yes and No.

The AI is told the change is waiting, and should tell you in its own app. Only you can approve, and only by tapping in SwitchDesk.

A safety net under every connection

Activity and Undo

Activity lists every call each connection makes, with Undo for 7 days on anything it changed.

Pause and Revoke

Pause stops a connection’s writes; Revoke ends it at once. A burst of deletes pauses it by itself.

You can see what an AI added

To-dos an AI adds land at the bottom of their section and carry its name with a small AI badge.

Meetings and Notes stay private by default

Meetings, Notes and Recaps stay on your Mac until you switch on “Share meetings & notes with your AIs”, which copies summaries, action items and notes (not audio) to SwitchDesk’s server. Transcripts need a second box, and you confirm with a code we email you. Calls marked “Never share this call” are never copied.

What no AI can do, whatever you allow

  • Approve, deny or undo anything, or change its own access
  • Touch your settings, billing, team members or sharing
  • Rename or delete categories, or reorder your list
  • Hear any audio: it reads notes and, only if you allow, transcripts
  • Send your data anywhere: there is no email, webhook or share-link tool

Text in your to-dos and notes can come from other people. SwitchDesk tells every AI to treat it as data, never as instructions. A connection that goes unused for 90 days expires. You can set an earlier end date. Privacy policy.

For developers and your own agents

The same tools are available over MCP (Streamable HTTP) and a REST API, with one key per connection in the Authorization header. Apps that sign in use OAuth 2.1 on a separate address.

AI Access questions

More in Help →
Which AI apps can manage my SwitchDesk to-do list?
ChatGPT (and OpenAI dots and Codex through the same sign-in), Claude on the web, desktop and phone, Claude Code, Cursor, Grok Bot, Grok on grok.com, Gemini and Meta Muse. Any other app that speaks MCP, or your own script over the REST API, works with a key. Setup guides for each.
What is MCP?
The Model Context Protocol, an open standard AI apps use to call tools in other apps. SwitchDesk runs an MCP server; an AI app that supports custom MCP servers or connectors can add it with one URL.
Can an AI delete my to-dos?
Only if you allow it. In the default Assistant preset, a delete becomes a card you approve. Even when allowed, every delete can be undone for 7 days in Activity, and a burst of deletes pauses the connection.
Does the AI see my meetings and notes?
Not unless you share them.
Is my list used to train AI models?
SwitchDesk doesn’t send your data to AI companies for AI Access; the app you connect reads what you allow, under that app’s own terms and data settings. Check its settings if training matters to you. Our privacy policy covers AI apps you connect.
Which plan includes AI Access?
AI Access is part of Pro: $18/mo billed yearly, or $23 month to month. The 14-day trial is Pro, so it includes AI Access. Compare plans.
Can I connect from my iPhone?
You create connections on your Mac. The iPhone app is coming soon to the App Store; Claude’s and Gemini’s phone apps use a connection once you’ve added it on the web.
How is this different from the Incoming API?
The Incoming API (Integrations) only sends new to-dos in, from forms and scripts. AI Access lets an assistant read and work with your whole list, with per-permission control.

Hand your list to an AI you trust.
