How to give Grok Bot access to your calls
Grok Bot runs routines on its own while your laptop is closed. Give it your calls and it can read yesterday’s meetings every morning, list the follow-ups and put them on your to-do list for you to approve. SwitchDesk records the calls on your Mac, with no bot in the meeting.

3 follow-ups from 2 calls are waiting in SwitchDesk for your OK: send Lumora the revised proposal…
Why give Grok Bot your calls
Follow-ups slip because nobody goes back through the call. A routine can, every morning, before you open your laptop. Your calls’ notes are shared through SwitchDesk’s server, so Grok Bot reads them even while your Mac sleeps.
What to ask Grok Bot
“Weekdays at 7:30: read yesterday’s calls and send me the follow-ups as one approval card.”
ChangesReads each call’s action items, then sends one card you approve in a tap.
“Fridays at 4: sum up this week’s calls by client.”
ReadsReads the week’s calls and writes the summary in Grok.
“Each evening: list what I promised on today’s calls that isn’t on my list yet.”
ReadsCompares today’s action items with your to-do list.
“What did Joe say about the budget last month?”
ReadsSearches your calls and answers with the call it used.

Grok Bot
Ask about a call
Start with something you can check, like “Weekdays at 7:30: read yesterday’s calls and send me the follow-ups as one approval card.”
Every Bot on your Grok account shares one SwitchDesk connection. A Team Bot lets teammates use it, so they could ask it about your calls. For a Team Bot, make a connection of its own and switch Meeting notes off in Fine-tune.
Want exact words? Tick “Include full transcripts” in the same place. SwitchDesk warns: “Other people’s exact words.” Then give Grok Bot Full control, or switch Transcripts on in Fine-tune. Summaries, action items and your own notes don’t need it.
What Grok Bot can and can’t see
| From your calls | Grok Bot |
|---|---|
| Summaries and action items | Yes, once you share your calls |
| Your own notes from the call | Yes |
| Search across every shared call | Yes |
| Full transcripts | Only with “Include full transcripts” and Full control |
| The audio | Never |
| Calls marked “Never share this call” | Never |
| Editing or deleting your notes | Never |
Every call Grok Bot makes shows up in Activity on your Mac. Revoke ends the connection at once.
Which calls work
Any call whose audio plays through your Mac: Google Meet, Zoom, Microsoft Teams, in the browser or the app. SwitchDesk records your voice and theirs on separate tracks, so there’s no bot in the participant list. On Google Meet in Chrome, it also names who said what. How SwitchDesk records calls.
