The short version

This summary isn’t part of the policy. The numbered sections below are.

See who receives what, in section 8 →
  1. Saved on your Mac first. Meeting recordings, recent dictations and Recap’s activity log stay there. So do videos, until they get a share link.

  2. Audio goes out to become text. It streams to our transcription provider while you dictate or record a call. The files stay on your Mac.

  3. Text goes to an AI model through our server, which doesn’t log it, when you use AI Polish, meeting notes, suggested to-dos, Ask, Recap or AI Chat. Speaker names go with meeting transcripts.

  4. Your list syncs. To-dos, categories and Dictionary words go through our cloud database. Categories you share are visible to your team; the rest stay private.

  5. Trying dictation during setup keeps nothing. Before you have an account, short practice clips go to our transcription provider and the text to an AI model, and neither is stored.

  6. Shared videos upload. A video gets its link at Stop unless you turn off “Copy a share link when I stop recording”. Anyone with the link can watch until you stop sharing.

  7. AI apps see only what you allow. Connect one in Settings → AI access. Meetings and notes are copied to our cloud for them only if you turn on “Share meetings & notes with my AI connections”; transcripts need a second box. Off deletes the copy.

1. Who we are and what this covers

This policy explains how Abstrakt, LLC (“SwitchDesk”, “we”, “us”) handles personal information when you use the SwitchDesk app for Mac, our website at switchdesk.org, and the video share pages at switchdesk.org/v/….

Abstrakt, LLC is responsible for that information (the “controller”, in the words of European data-protection law). Our postal address is 3423 Piedmont Rd NE, Atlanta, GA 30305.

If something here is unclear, write to support@abstrakt.group.

2. What stays on your Mac

These are saved in your Mac’s own storage. They aren’t sent to us unless a section below says so.

  • Meeting recordings. Each call is a folder on your Mac: the audio (your mic and the call’s audio, as two tracks), the transcript, the notes SwitchDesk writes, and anything you type in the notepad. They stay on your Mac unless you turn on “Share meetings & notes with my AI connections” (section 6).
  • Videos you record. Every video is saved on your Mac before anything uploads. Find them in “My Videos”.
  • Your dictation history (“Recent Dictations”) and your AI Chat conversations, with any files you attach to them.
  • Notes and recaps. Your Notepad notes and the recaps you make. They stay on your Mac unless you turn on the same sharing (section 6).
  • Recap’s activity log, while “Activity & Recap” is on: the text of your dictations, the category you complete to-dos in, and the kind of app you dictated into (email, chat, message…), never the app’s name. Password managers are left out by default.
  • Settings and diagnostics. The app keeps its settings and a diagnostics log on your Mac. The log leaves only if you use “Copy Diagnostics” and send it to us yourself.

Your Mac login and, if it’s on, FileVault protect these files. Delete them and they’re gone. We keep no copy, except of a shared video until you stop sharing it.

3. Audio and transcription

Dictation and meetings

While you dictate, your mic audio streams to Deepgram, which sends back the text. While you record a call, both tracks (your mic and the call’s audio) stream to Deepgram for the live transcript. Words from your Dictionary go along as hints for names and terms. The recording files stay on your Mac.

If dictation can’t reach Deepgram

If you’ve turned on Siri & Dictation, Apple’s speech recognition takes over. It runs on your Mac when your Mac supports that; otherwise your audio goes to Apple’s servers, under Apple’s privacy policy.

The chat box’s mic

Holding the mic in the chat box uses Apple’s speech recognition, under Apple’s privacy policy. Your audio may go to Apple’s servers.

Transcripts for shared videos

When a shared video gets a transcript, our server sends that video’s audio to Deepgram and stores the text with the video.

Names in meeting transcripts

With “Identify speakers by name” on, SwitchDesk reads names from Google Meet’s own captions and participant list on your Mac while you record, using the Accessibility permission. Voices aren’t analyzed to identify anyone. Named lines are part of the transcript, so the names travel with it when it’s sent to the AI model (section 4).

4. AI features

SwitchDesk sends text to Anthropic, through our server, when you use a feature that needs an AI model:

  • AI Polish: the text you dictated.
  • Filing to-dos: the to-do, plus your category names and descriptions, so it lands in the right category.
  • Meeting notes and suggested to-dos: the call’s transcript, with speaker names when they were identified.
  • Ask: your question and the parts of your transcripts that answer it.
  • Titles: the words a title is made from, such as a video’s transcript while “Name videos from what you said” is on.
  • Recap: the entries from your activity log for the day or week you ask about, summaries of meetings you recorded then, and the titles and times of calendar events you attended.
  • AI Chat: your messages and any files you attach. When a reply needs current information, the model can search the web through Anthropic.

Our server passes these requests on and doesn’t log their content. We don’t use your content to train AI models.

AI-written notes, titles and suggested to-dos can be wrong. Check them before you rely on them (Terms of Service, section 10 →).

5. Trying SwitchDesk during setup

Practice before you have an account

While you set SwitchDesk up on a Mac, you can try dictation before you have an account. Each try records at most 20 seconds of your voice. The clip goes through our server to Deepgram to become text, and the text goes through our server to Anthropic to be polished or turned into a to-do. Neither the clip nor the text is stored by us; the result comes back to your Mac and shows on screen.

To keep these tries limited, the app creates a random ID for that Mac, unconnected to your name or email, and sends it with each try. Our server counts tries per ID and per IP address. It stores the IP address only as a scrambled (salted and hashed) value and deletes those counts after 2 days. If you’re signed in but don’t have a plan, tries are counted against your account instead.

Anonymous setup stats

With “Share anonymous setup stats” on, the app sends which setup steps you reached, skipped or finished, and how long they took, as fixed event names. Each launch of the app gets a new random session ID; nothing else identifies you, and we don’t store your IP address or the Mac’s ID with these stats. Nothing is sent before you click Get started or Sign in on the welcome screen. Turn it off on that screen or in Settings → Account. We keep these stats for 90 days.

6. AI apps you connect

In Settings → AI access you can connect an AI app you use, such as Grok Bot, Meta Muse, Claude or Cursor, and choose what it may do: see or change your to-dos and categories, and, if you allow it, read your meeting notes, transcripts, Notepad notes and recaps, or write Notes. Nothing is shared until you connect one. Each connection has its own key; we keep only a one-way fingerprint of it. You can pause or revoke a connection at any time, and it stops working on its next request.

Meetings, Notes and Recaps

These live on your Mac. AI apps can read them only while you have “Share meetings & notes with my AI connections” turned on (it’s off by default), and only after you confirm each connection with a code we email you. While it’s on, your Mac keeps a copy in our cloud of each call’s title, date, length, category, AI summary, action items and your own notes; your Notepad notes; and your newest day and week recaps. Recaps can include things you dictated.

  • Transcripts (other people’s exact words) are copied only if you also tick “Include full transcripts”.
  • Never copied: calls and notes you mark “Never share”, calls recorded under another SwitchDesk login on the same Mac, audio, speaker data and Ask chats.
  • Removing it: turning the switch off deletes the whole copy at once; marking an item “Never share” or deleting it removes its copy.

What the AI app does with it

An AI app you connect isn’t our service provider. It follows its own terms and privacy policy, it may keep what it reads, and we can’t recall data from it. When it changes something, you see it in Activity and can undo it for 7 days. Requests to api.switchdesk.org pass through Vercel on their way to our server.

7. What we keep in our cloud, and why

Your account
Your email address, which we use to send sign-in codes and links (SwitchDesk has no passwords) and emails about your plan; the name you enter under “Your name (visible to teammates)”; and an account ID.
Your synced list
To-dos (titles, notes, blockers, due dates, order and status), categories (names, colors and the descriptions you write so to-dos are filed correctly), your Dictionary words, and list preferences such as “Organize by day”. We keep these so your list is the same on every Mac you sign in on.
Teams
Team names, members and their roles, which categories are shared, and who is assigned which to-do, so teammates see the same shared categories.
Shared videos
For each video you share: the video file, its audio and thumbnail, its title and length, its transcript if one is made, and its view count, so the share page can play it and count views.
Developer features
If you use them: the API keys you create and their setup answers, to-dos your tools send in, the webhook addresses and signing secrets you add, and delivery status, including for meeting exports.
AI access
Your connections and their settings; a one-way fingerprint of each key; Activity (the time, connection, tool, outcome and the IDs of the items involved, never their text, plus the caller’s network address and app as reported); copies kept so you can undo an AI’s change; the changes an AI suggests for your approval; text an AI writes into your Notes while it waits for your Mac; and, while you have it turned on, the copy of your meetings, notes and recaps described in section 6.
Your plan
Your plan, trial and renewal dates and purchase history, which our billing provider sends us, so the app knows what your plan includes. Stripe takes your payment details on its own checkout, and Apple takes them in the App Store; we never see your full card number.
Messages to us
What you send when you write to us, including diagnostics you choose to attach.
Technical data
IP address, device and app version, and times of requests, in our providers’ server logs. Our own server functions log event names and status codes, not the content of your requests.

The app doesn’t collect your location or an advertising identifier.

People and tools you choose

  • Your team sees the to-dos in categories you share, your display name, and assignments.
  • Anyone with a share link can watch that video and see its title and, if you allow it, its transcript.
  • Tools you connect receive what you set up: status updates for to-dos they sent in, and copies of the meetings you choose to export, at the webhook address you entered.
  • AI apps you connect receive what you allow in Settings → AI access, under their own terms (section 6).

Other cases

  • When the law requires it, or to protect someone’s safety.
  • If SwitchDesk is sold or merged, to the new owner, who must keep honoring this policy for the data it receives.

We don’t sell your personal information, and we don’t share it for advertising. SwitchDesk shows no ads and contains no third-party advertising or analytics code.

9. Your choices

Six SwitchDesk settings at their defaults: “Copy a share link when I stop recording”, “Show the transcript on share pages” and “Name videos from what you said” are on; “Auto-record when opening a meeting” is off; “Identify speakers by name” and “AI Polish” are on.
  • Keep videos on your Mac Settings → Videos

Turn off “Copy a share link when I stop recording”. A video then uploads only when you share it.

  • Stop sharing a video

Choose “Stop Sharing…” in “My Videos”. In the app’s words: “The link stops working right away and the online copy is deleted. The video stays on this Mac.”

  • Hide transcripts on share pages Settings → Videos

Turn off “Show the transcript on share pages”, or “Show Transcript on Share Page” for one video.

  • Auto-record Settings → Meetings

A meeting records on its own only if you turn on “Auto-record when opening a meeting”. It’s off by default.

  • Speaker names Settings → Meetings

Turn off “Identify speakers by name”.

  • AI Polish Settings → Dictation

With “AI Polish” off, your dictated text isn’t sent to be polished.

  • Recap’s activity log Settings → Dictation

Turn off “Activity & Recap”, choose how long it’s kept under “Keep history for”, and list apps under “Don’t log from these apps”.

  • AI apps Settings → AI access

Choose what each AI app may do, see what it did, undo it, pause or revoke it. Turn off “Share meetings & notes with my AI connections” to delete the shared copy, untick “Include full transcripts” to remove transcripts, or mark a call or note “Never share”.

  • What your team sees Settings → Teams

“Categories you toggle on are visible to teammates. Untoggled categories stay private.”

  • macOS permissions

Turn microphone, speech recognition, screen recording, camera, calendar or accessibility access off in macOS System Settings → Privacy & Security. The feature that needs it stops working.

  • Setup stats Settings → Account

Turn off “Share anonymous setup stats”, here or on the welcome screen.

  • Your plan Settings → Account → Manage plan

Cancel anytime; your plan runs to the end of the period you paid for. A plan bought in the iPhone app is cancelled in the iPhone’s Settings → Subscriptions.

  • Stop syncing Settings → Account

Sign out, and that Mac stops syncing your list.

10. How long we keep data

On your Mac
Until you delete it.
Recap’s activity log
Deleted automatically after the period you choose under “Keep history for”: 30 days, 60 days, 90 days or 1 year (90 days unless you change it). Recaps you’ve made are kept; they don’t store your dictations word for word.
Shared videos
Until you stop sharing. The online copy is deleted right away, and a playback address already handed out stops working within 24 hours.
Your account and synced data
For as long as your account exists. Deleted when you ask us to delete the account (section 11).
Practice during setup
Clips and text aren’t stored. Counts per IP address are deleted after 2 days; counts per Mac ID or account are kept to enforce the limit.
Setup stats
90 days.
Webhook delivery records
30 days.
AI access
Activity: 90 days. Undo copies: 7 days. An AI’s suggested changes: 7 days after you decide. Text an AI writes into your Notes: 30 days after it reaches your Mac. The meetings-and-notes copy: until you turn sharing off, mark the item “Never share”, or delete it.
Purchase records
As long as tax and accounting law requires, even after you delete your account.
If you cancel a trial or a plan
Your to-do list and sync keep working, your notes and videos stay readable and exportable, share links stay live for 90 days and then pause, and we keep your cloud data for 12 months.

Our providers keep server logs, and the data they process for us, for periods set in their own terms.

11. Your rights

Wherever you live, you can ask to see, correct, export or delete the personal information we hold about you. Much of it you control directly: edit or delete to-dos, stop sharing a video, or delete files on your Mac.

For anything else, write to support@abstrakt.group from the email address on your account. We’ll answer within 30 days, and we may need to confirm the request is yours.

Deleting your account

Write to support@abstrakt.group from your account’s address and ask us to delete your account. We cancel any plan you bought on the web, then delete your account, your synced list, your shared videos and the other data in our cloud, and ask RevenueCat to delete your purchase profile. Purchase records we must keep by law are the exception. A plan bought in the App Store keeps billing until you cancel it in your iPhone’s Settings. What’s on your Mac stays until you delete it.

If you’re in the EEA, the UK or Switzerland

We rely on these legal bases: contract, to provide the features you use; legitimate interests, to keep SwitchDesk secure, prevent abuse and fix problems; consent, where we ask for it, which you can withdraw at any time; and legal obligation, where the law requires us to keep or share something. You can also object to or restrict our processing, and complain to your local data-protection authority.

If you’re in California or another US state with a privacy law

You have the right to know what we collect, to correct it and to delete it, and we won’t treat you differently for using these rights.

12. How we protect data

  • No passwords. You sign in with a link sent to your email, so your email’s security is your account’s security.
  • Encrypted in transit. Everything SwitchDesk sends goes over HTTPS or secure WebSockets.
  • Rate limits. AI requests go through our server, and every transcription session starts with a credential from it. Both are limited in how often they can be made.
  • Signed addresses. Shared videos play from signed addresses that expire within 24 hours, and the webhooks we send are signed so your tools can check they came from us.

No system is completely secure. If a breach affects your data, we’ll tell you as the law requires.

13. International transfers

We sell plans on the web to customers in the United States. Our providers process data in the United States and other countries where they operate. Where the law requires it, for example for people in the EEA, the UK or Switzerland, those transfers rely on safeguards such as the European Commission’s Standard Contractual Clauses.

14. Children

SwitchDesk is for adults: the Terms of Service require you to be 18 or older, and it isn’t meant for children under 13 (or under 16, where the law sets that age). We don’t knowingly collect personal information from children under 13 (or under 16, where the law sets that age). If you believe a child has given us information, write to support@abstrakt.group and we’ll delete it.

15. The website and share pages

  • No cookies. switchdesk.org doesn’t set any. It remembers your theme and “Pause animations” choices in your browser’s own storage, and they never leave your browser.
  • Hosting. Vercel hosts the site and keeps standard request logs: IP address, browser details and the pages requested.
  • Share pages. When someone opens a share link, we count a view. It’s a count, not names, and link previews in chat apps don’t add to it. We use the viewer’s IP address to limit how often requests can be made.
  • “Send the link to your Mac”. On phones, this opens your device’s share sheet or copies the link. Nothing is sent to us.

16. Changes to this policy

When we change this policy, we’ll update the date at the top and add an entry to the version history below. If a change affects how we use information you’ve already given us, we’ll tell you in the app or by email before it takes effect.

17. Contact us
