Meeting prep notes, right on your calendar

Click any call this week and write what you want to cover. When the call starts and you record it, those notes are already in the meeting notepad, and the AI notes build on them.

Plan: Both plans

Write it before. Find it in the call.

  1. 1

    Pick the call

Open Calendar (⌥⌘K, or say “open my calendar”), click the event and type in its notes: the agenda, the questions, the numbers you need.

  2. 2

Start recording, any way you like

Record from the countdown pill, the calendar, the notepad, or let auto-record start it when you join. Each route knows which event it is.

  3. 3

    Your notes are already there

The notepad opens with what you wrote. Keep typing during the call. When it ends, the AI notes use your prep as context and keep untouched agenda lines under “Prep notes”.

The countdown pill knows you prepared

Before each call, the pill at the bottom of your screen counts down. When the call has notes, it shows a small notes mark, and hovering it gives you a Notes button next to Record.

Join the meeting and your notes open by themselves (Settings → Meetings → “Open my notes when I join”, on by default). If two calls start within five minutes of each other, a “+1” on the pill switches between them.

Only your calls, five days at a time

Calendars fill up with birthdays, holidays, focus blocks and a teammate’s schedule. SwitchDesk opens on Calls: only events with a meeting link, Monday to Friday, plus any weekend day that has a call. Switch to All events or 7 days when you want the rest.

  • Day, 3-Day, Week, Month and Agenda. Number keys switch views; t jumps to today.
  • Filters for category, calendar, person, has notes, needs prep and recorded, with saved filter sets.
  • A command bar (⌘K) that understands “next fri”, “oct 20” or “with dana”, and can copy your free times as text.
  • Colour by category, so client calls and personal ones look different. A daily AI pass can suggest categories for new meetings, from titles and attendee domains only (you can switch it off).

Pick up where the last one left off

Open a recurring meeting and a Last time card shows what is still open from the previous one: your unchecked items and your open action items from its notes. Carry over copies them into this call’s notes as a checklist, skipping anything already there.

For a weekly one-to-one or a standing client call, turn on Always carry over unchecked items for that series, and each new occurrence starts with them. For a one-off call, SwitchDesk looks for a recent call with the same people.

Ask for it by voice

Hold Globe and say it. Calendar commands are exact phrases, so ordinary dictation about your calendar is never mistaken for one.

  • “Open my calendar”
  • “What’s on my calendar tomorrow?”
  • “What’s my next meeting?”
  • “Open notes for my next meeting”

What it reads, and what it keeps

  • It reads events through your Mac’s calendar access and never changes them.
  • Notes are saved on your Mac and synced to your SwitchDesk account so your devices match. Attendees are kept as short codes, never email addresses.
  • The optional daily category suggestion sends meeting titles and attendee domains only: no names, emails or notes.

Calendar questions

More in Help →
Does it work with Google Calendar and Outlook?
Yes, through your Mac. SwitchDesk reads the calendars your Mac’s Calendar app already shows, so a Google, iCloud, Exchange or Outlook account added there appears in SwitchDesk too.
Can I create or move events in SwitchDesk?
Not yet. The calendar is read-only: it never adds, moves or answers events. Notes are the part you write.
What happens to my notes if the meeting moves?
They follow it. Notes are tied to the event itself, so a renamed or rescheduled call keeps them. Each repeat of a recurring meeting has its own notes.
Do my notes reach the recording if I start it some other way?
Yes. Whether you press Record on the countdown pill, in the calendar or in the notepad, or the call is recorded automatically, the notes for that event are copied into the meeting.
Do the AI notes treat my agenda as what was said?
No. SwitchDesk keeps a copy of what you wrote before the call, so the notes writer knows those lines are your prep, not the conversation. Agenda lines nobody touched are kept under “Prep notes”.
Is the calendar part of both plans?
Yes. The calendar and call notes come with SwitchDesk on your Mac; meeting notes then follow your plan’s hours. See pricing.
