See what stays on your Mac
Meeting recordings, transcripts and notes, your original video files and your recent dictations are saved on your Mac first. What goes out, and when: your voice while you dictate or record, text an AI model tidies or summarizes, your list when it syncs, and a video when it gets a share link. Read the full security page →
Saved on your Mac
- Meetings: each call is a folder of ordinary files: the audio (your mic and the call’s audio as two tracks), the transcript and the notes in Markdown.
- Videos: the original recording stays in My Videos, before and after any upload.
- Recent dictations in the menu bar, and Recap’s activity log if you switch it on.

What goes out, and when
Dictation, while you talk
Your voice streams to our transcription provider, with words from your Dictionary as hints. If it can’t be reached and Siri & Dictation is on, Apple’s speech recognition takes over: on your Mac when it can, otherwise on Apple’s servers. With AI Polish on, the words go to an AI model to tidy them.
Meetings, during the call
Your mic and the call’s audio stream for live captions and the transcript. The recording files stay on your Mac.
Meetings, after the call
The transcript, with speaker names when they were identified, goes to an AI model for notes, suggested to-dos and Ask.
Videos, at Stop
When “Copy a share link when I stop recording” is on (the default), a copy uploads for its unlisted link, and its audio is transcribed on our server for the share page and the title. With the setting off, nothing uploads until you share.
To-dos, categories and your Dictionary
Synced through our servers to your other Macs; a shared category also goes to the teammates you share it with.
AI Chat and Recap
What you send, and the activity Recap summarizes, goes to an AI model.
Meeting exports
Only to destinations you set up, signed and relayed by our server.
AI requests are routed through our server and rate-limited.
Share links are unlisted
A share link isn’t private: anyone with the link can watch, and it isn’t listed anywhere. Views are a count, not names. To stop a link, open My Videos and choose “Stop Sharing…”. If you’d rather keep videos on your Mac until you decide, switch off “Copy a share link when I stop recording” in Settings then Videos.
Tell people you’re recording
No bot joins your calls and SwitchDesk doesn’t announce itself, so the people on the call won’t know unless you tell them. Recording laws vary by place; say so at the start. “Auto-record when opening a meeting” is off by default. Record a meeting →
