See who said what and turn on live captions

Updated · SwitchDesk build 212+
TL;DR

Two kinds of captions are involved. Names come from Google Meet’s own captions in your call window: SwitchDesk reads them and labels each line with who said it. On other call apps, the transcript labels lines by side: “Me” and “Them”. Separately, “Live captions” at the top of the notepad opens a drawer with the transcript as it’s written.

Who said what

Two settings in Settings then Meetings control it, and both are on by default:

Who said what

Identify speakers by name

When a name can’t be observed, that line stays unlabelled rather than guessed.

Keep Meet captions on while recording

Names come from the meeting’s own captions, which label each line with who said it. If captions are off, SwitchDesk presses Meet’s Turn on captions button for you — you’ll see them appear. If they go off during the call, they’re turned back on — unless you switch them off again right after, which leaves them off.

In Settings → Meetings, under “Who said what”.

Show live captions

  1. Start recording

Captions need an active recording. Record a meeting →

  2. Click “Live captions” in the notepad

The drawer opens under your notes and rolls up as people talk. Click it again to hide it. It’s off by default; the call is transcribed either way.

  3. Adjust the size on the fly

Use A− and A+ at the top of the drawer to nudge the text size during the call.

The SwitchDesk meeting notepad in the Black scheme during the Lumora kickoff call: your notes (Pilot: 12 seats, support team; Starts next month; Send revised proposal (Thu)) above live captions — Joe: “We'd want twelve seats to start, for the support team, starting next month.” Joe: “If the pilot goes well, we'd roll it out to all forty agents. Can you share the pilot pricing before then?” You: “Great — I'll send the revised proposal by Thursday.”.

The notepad's Ask panel during the call: "What did Joe say about seats?" — answered "Twelve seats to start, for the support team, starting next month — and all forty agents if the pilot goes well."

On other call apps

Without Google Meet’s captions there are no names to read, so lines are labeled by side: the transcript says “Me” for your mic and “Them” for the call’s audio, and the live captions say “You” and “Them”. Notes and suggested to-dos work the same way.

Caption settings

Also in Settings then Meetings:

Live text in captions

The strip under the live captions showing the sentence currently being spoken. Whatever you choose here is the default — if you show or hide it during a call, that’s remembered instead.

Caption text size

The size of the live captions and the live text under them. You can also nudge it during a call with A− / A+ at the top of the captions.
