Async video for sales follow-ups: a 2-minute template
The Lumora kickoff ends at 2:30 PM. Joe Raman has asked for twelve seats, a pilot starting next month and the pilot pricing. Sam could book another call to walk him through the plan. Instead, at 3:05 PM, he records a video that runs 1:04 and sends him the link.
Send a video when there’s something to show
A follow-up video earns its place when the next step is a thing to look at: a pilot plan, a proposal, a setup screen, a dashboard. Joe can watch it when it suits him, replay the part about rollout, and forward the link to whoever signs off, without anyone booking another 30 minutes.
It’s the wrong tool for a yes, a date or a price. If the whole message fits in two sentences, write the two sentences.
The template: five beats in under two minutes
Each beat has one job. The times are a ceiling, not a target: Sam’s video covers all five in 1:04.
- 1up to 10 s
Name it
Say what the video is and who it’s for, in one sentence.
0:00“This is a walkthrough of the Lumora pilot plan.”
Your first sentence does a second job: with “Name videos from what you said” on in
Settings → Videos, SwitchDesk titles the video from what you say. Sam’s became “Lumora pilot walkthrough”, which is the title Joe sees on the share page. - 2up to 20 s
Their words
Repeat the numbers, dates and names they gave you on the call.
0:06“Slide two is the scope: twelve seats for your support team, starting next month.”
Saying their numbers back proves you listened, and it catches a wrong number before it reaches a proposal. Take them from the call, not from memory: during the call, Sam typed “What did Joe say about seats?” into “Ask about this call” and got back “Twelve seats to start, for the support team, starting next month — and all forty agents if the pilot goes well.”
- 3up to 45 s
Show the one thing
One document, one screen at a time. Point at what matters.
0:19“Slide three is the timeline. We set up the workspace first, then check in with you two weeks in.”
0:34“If the pilot goes well, slide four is the rollout to all forty agents.”
Sam shows the timeline slide, then the rollout slide, and says what each one means for Joe’s team. If you catch yourself opening a second document, that’s a second video.
The template, as plain text
Paste it into your notes, fill in the braces, and record.
[up to 10 s] This is a walkthrough of {the thing} for {their team}.
[up to 20 s] On {the call}, you asked for {their words: the numbers, the dates, who it’s for}.
[up to 45 s] Here’s {the one thing}. {One screen at a time: what to look at, and why}.
[up to 25 s] Next: {the step}, from {who}, by {day}.
[up to 20 s] Any questions, reply to this message and I’ll walk you through it live.Record it in one take with Create Video
- Choose “Create Video” from the SwitchDesk menu in the menu bar.
- Pick Window and choose the deck, “Lumora pilot plan.pdf”, so only that window records. Screen and Area are there when you need them.
- Switch Camera on so Joe sees who’s talking; the bubble sits in a corner of the recording. Leave “This Mac's audio” off unless you’re playing sound.
- Click “Start Recording”, wait for the countdown and talk through your five beats.
- Click “Stop Recording” in the menu bar.
Drag out exactly the part of the screen you want in the video. You can move and resize it before recording starts.
Your camera bubble records too — drag it anywhere inside the area.
That window is on another desktop, so your camera won't be in this video. Switch to its desktop first to include it.
The link was reserved when you started, so it’s on your clipboard at Stop. Paste it into your message while the upload finishes. The share card shows “Preparing upload…”, then the upload, then “Ready to share · transcript ready”.
There’s no trimming or editing in SwitchDesk, so a short script and one take beat a long recording you’d want to cut. If a take goes wrong, record it again, then choose “Stop Sharing…” on the bad take in My Videos: its link was already copied.
What Joe sees when he opens the link
Joe needs no account and no app. The share page plays the video, shows the transcript with timestamps that jump to that moment, and lets him copy the text. If he opens it before the upload finishes, the page says “This video is still uploading. This page updates on its own.”

Transcript
The transcript is still being made. Refresh in a minute.
Before you send it:
- The link is unlisted, not private. Anyone with the link can watch, so don’t record anything you wouldn’t want forwarded.
- Views are a count, not names. My Videos shows how many times it was watched, not by whom.
- You can take it back. In My Videos, choose “Stop Sharing…”: “The link stops working right away and the online copy is deleted. The video stays on this Mac.”
- Links outlast a canceled plan. If you cancel, your links stay live for 90 days, then show as paused.
If you don’t want the transcript on the page, switch off “Show the transcript on share pages” in Settings → Videos.
Then check off the follow-up
The video doesn’t add a to-do; it ends in a link. What it does is finish one. Sam’s “Record Lumora pilot walkthrough” sits in Today’s Todo, and he checks it off once the link is in Joe’s inbox.
Videos and share links are unlimited on both plans, Essential and Pro.
